PA/ Mayoral Support Officer

£14.16

37 hours Monday-Friday

Opus People Solutions are recruting on behalf of Rugby Borough Council for a PA to work as part of a team under the direction of the Democratic and Leadership Support Team Leader to provide administrative support to the mayoral function of the Council and to the Leadership Team.

This is a 3 months temporary contract, with the potential to become permanent.

Hybrid working available after training, 2 days per week from home.

MAIN RESPONSIBILITIES:

  • Provide administrative support to the Mayor and Deputy Mayor, including the
    co-ordination of their diaries and engagements, providing prompt responses to invitations for the Mayor/Deputy Mayor to attend functions, ensuring that each week is efficiently planned having regard to the number and nature of engagements to be attended. This to be in accordance with the Council's Member-Officer Protocol.
  • Ensure that the Mayor/Deputy Mayor and Mayor's Chauffeur/Attendant (if needed) are briefed as required before attendance at functions.
  • Support the Democratic Services Officers, as necessary, on arrangements for all civic events, including Civic Sunday Service, Remembrance Sunday Service, Annual Council and Freedom of the Borough ceremonies/receptions including all correspondence, venue bookings, invitations and arranging for refreshments where applicable.
  • Liaise with the Mayor's chosen charities as required.
  • To provide a comprehensive, confidential and highly efficient support service for the members of the Leadership Team (LT).
  • Use own initiative to manage the day-to-day activities of LT members through effective problem solving, diary management, arranging appointments and providing papers and support for corporate meetings.
  • Prepare agendas and papers, attend and minute any corporate meetings for LT
    and external partner organisations as required.
  • Manage bring forward/reminder systems on behalf of LT members.

Expirience within a local authority/ polical awareness would be desireable.
