Job description

The Financial Services Administrator will be responsible for maintaining and organizing client and portfolio records, arranging client reviews, preparing necessary documentation, and ensuring compliance with regulations. This role involves direct communication with clients, financial advisers, and product providers to manage new business processes, case progress, and ensure timely completion of all tasks.

Key Responsibilities:

  • Organize client reviews on behalf of Financial Advisers.
  • Prepare client files for annual or semi-annual reviews.
  • Handle new client business and complete necessary administrative tasks.
  • Update clients on the progress of their cases.
  • Draft suitability letters for additional investments in existing policies, such as ISAs, pensions, and fund switches.
  • Prepare all required paperwork and application forms for client meetings.
  • Manage Work in Progress (WIP) and invoice clients as needed.
  • Communicate with product providers about case progress, compliance issues, and record-keeping.
  • Ensure post-meeting processing is completed on time for both individual and corporate clients.
  • Oversee the end-to-end process for Letters of Authority.
  • Help ensure all client files and company records comply with Financial Conduct Authority (FCA) regulations.

Requirements:

  • Previous experience within a financial services administrator role is ESSENTIAL - this could include an IFA firm, wealth planning, pensions or similiar field
  • Ideally holding some financial services qualifications, FA1, FA2 or similiar
