Contract: Temporary 12-week assignment

Opus People Solutions are recruiting on behalf of Northamptonshire Partnership Homes (NPH) for an Assets Support Officer to join their busy Asset Management team.

This is an excellent opportunity for an experienced administrator with strong customer service skills to support the delivery of complex property repair and maintenance cases. You'll act as a key point of contact for residents, contractors, surveyors and internal stakeholders, ensuring information is accurately recorded and works are progressed efficiently.

We're looking for someone who is organised, proactive and confident dealing with residents, particularly where complaints or service issues require careful handling and de-escalation.

About the Role

As an Assets Support Officer, you'll provide vital administrative and operational support to the Asset Management team, helping to manage repairs, complex cases, disrepair matters and contractor performance.

You will be responsible for coordinating appointments, managing case information across multiple systems, producing reports and maintaining accurate records to ensure the smooth delivery of services to residents.

The role requires excellent communication skills, attention to detail and the ability to manage competing priorities in a fast-paced environment.

Key Responsibilities

  • Act as the first point of contact for residents, contractors and stakeholders, dealing with telephone calls, enquiries and correspondence.
  • Manage and update DRS scheduling systems and internal databases.
  • Handle resident enquiries and complaints, resolving issues where possible and escalating appropriately when required.
  • Support residents by providing updates and helping to de-escalate challenging situations.
  • Update housing management systems, including Open Housing, ensuring all case information is accurate and up to date.
  • Maintain clear records and case notes to support effective handovers and workflow management.
  • Coordinate day-to-day administrative activities for the Asset Management team.
  • Arrange meetings, manage diaries, prepare agendas and distribute minutes.
  • Produce reports, performance data, statistics and dashboard updates.
  • Raise purchase orders and support invoice processing for contractor payments.
  • Obtain, review and process contractor quotations and work orders.
  • Monitor works through to completion and support post-completion inspections where required.
  • Liaise with tenants, contractors and surveyors to arrange appointments and track progress.
  • Manage calls from contractors and surveyors regarding access issues, appointments or operational queries.
  • Support complex case workflows, including disrepair and damp & mould related activities.
  • Ensure electronic records, filing systems and data are maintained accurately and in line with organisational standards.

We're Looking for Someone Who Has

  • Previous experience in an administrative, scheduling or customer service role.
  • Experience handling high volumes of calls and correspondence.
  • Strong customer service skills with the ability to remain calm and professional when dealing with complaints or challenging situations.
  • Excellent organisational skills and attention to detail.
  • Experience maintaining accurate records and updating databases or management systems.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong communication skills, both written and verbal.
  • Experience using Microsoft Office applications.
  • Ability to work independently and use initiative.
  • Experience working within housing, repairs, property services or social housing environments would be highly desirable.
  • Knowledge of Open Housing, DRS or similar scheduling systems would be advantageous.
