Management Support Assistant
Pay: £16.90 per hour
Hours: 37 hours per week, Monday to Friday (part-time candidates may also be considered 4 days a week). Mandatory office attendance on Tuesdays.
Location: Solihull, B91 3QB (Hybrid working available)
Contract Length: 6 months
Opus People Solutions are recruiting on behalf of Solihull Metropolitan Borough Council for a Management Support Assistant to join the Economy and Infrastructure Directorate. This is an exciting opportunity to provide high-level management, administrative and project support to the Directorate Leadership Team within a prestigious local authority environment.
As a Management Support Assistant, you will play a key role in ensuring the smooth operation of senior leadership activities through effective coordination, organisation and communication. You will work closely with senior managers, supporting strategic projects, meetings, governance processes and day-to-day leadership functions.
As a Management Support Assistant, your typical duties will include:
- Managing and coordinating Directorate Leadership Team meetings, including agendas, forward plans, minutes and action tracking
- Supporting Cabinet and Scrutiny Board processes, ensuring reports are submitted, coordinated and uploaded in line with council procedures
- Producing high-quality reports, presentations and briefing documents
- Providing project support, including research, policy analysis and preparing recommendations and feedback
- Managing calendars, scheduling meetings and supporting leadership team workflow and deadlines
- Preparing senior managers for meetings and ensuring they have the necessary information and documentation
- Liaising confidently with internal stakeholders, external organisations, senior officers and elected members
- Supporting the effective use of Microsoft 365 applications, SharePoint and digital collaboration tools
- Quality checking reports, presentations and written materials to ensure accuracy and compliance with corporate standards
- Maintaining effective administrative systems and contributing to continuous improvement of business support processes.
The post would require an individual who can demonstrate the following:
- Experience in a Personal Assistant, Executive Assistant, Management Support or similar senior administrative role
- Experience managing complex diaries, inboxes and competing priorities
- Strong experience organising and supporting senior-level meetings, including minute-taking and action management
- Excellent communication and interpersonal skills, with the ability to build effective relationships at all levels
- Advanced Microsoft Office and Microsoft 365 skills, particularly Word, Excel, PowerPoint, Sharepoint
- Ability to produce professional reports, presentations and management information
- Exceptional organisational skills and the ability to work proactively with minimal supervision
- Strong analytical and problem-solving abilities
- A high level of discretion, professionalism and confidentiality
- Meticulous attention to detail and a commitment to producing high-quality work.
Desirable:
- Experience working within Local Government or the public sector
- Knowledge of governance processes including Cabinet and Scrutiny procedures
- Experience using SharePoint and collaborative digital platforms
- Understanding of political environments and stakeholder management.
