School Attendance Support Service Administrator / Coordinator

Rate of Pay: £14.82 - £16.07 per hour PAYE depending on experience.

Location: Hybrid basis (mainly home based)- you may be required to attend occasional review meetings within School's located within the Walsall Borough. You will be expected to work onsite at least 1 day a week within the Civic Centre Office within Walsall Town Centre.

Duration: Temporary basis, Term-Time, until March 2026 with potential to extend. Starting as soon as possible following successful interview and registration with Opus People Solutions.

Working Hours: Walsall Council are looking for 1 full time temporary worker and 1 part time temporary worker. Available hours are as follows:

· Monday - Friday, 8.30/9am - 4.30/5pm, 37 hours per week for Full Time worker.

· 22 hours per week for Part Time worker - days and hours are negotiable.

Opus People Solutions are recruiting on behalf of our Client, Walsall Council for a School Attendance Support Service Administrator/Coordinator on a temporary basis. For the Prevention and Reintegration team, they are seeking a highly organised and proactive Administrator/Coordinator to support them, within the School Attendance Support Service. The successful candidate will play a key role in managing administrative processes, coordinating service activity, maintaining accurate records, and ensuring effective communication with schools, internal teams, and external partners.

Key Responsibilities

Administrative & Coordination Duties

· Manage the daily operations for the Prevention and Reintegration team, ensuring smooth and efficient workflow.

· Open, maintain, and close service logs and case files accurately and in a timely manner.

· Attend panel meetings, take action on outcomes, and ensure all documentation is processed appropriately.

· Prepare, send, and track letters, reports, and other formal documents.

Communication & Correspondence

· Manage shared mailboxes, including reading, prioritising, and responding to emails promptly.

· Draft clear and professional email communications to schools, parents, and partner agencies.

· Liaise directly with schools to gather information, provide updates, and coordinate necessary actions.

· Handle incoming enquiries and provide accurate information or escalate issues where appropriate.

Data & Systems Management

· Create, update, and maintain spreadsheets and databases to track service activities, cases, allocations, and attendance.

· Use Microsoft Excel confidently, including formulas, filters, formatting, and data organisation.

· Ensure all information systems and records are accurate, up-to-date, and compliant with data protection requirements.

· Manage scheduled visits for the team, appointments, and coordinate meetings for staff and panels.

General Support

· Maintain confidentiality and work effectively within safeguarding and information governance guidelines.

· Proactively identify tasks that require attention and take appropriate action without prompting.

Essential Skills & Experience

· Strong administrative experience in a fast-paced environment.

· Excellent written and verbal communication skills.

· High level of organisation and attention to detail.

· Proficient in Microsoft Office, especially Excel.

· Ability to manage workloads, diaries, and email inboxes efficiently.

· Confident in liaising with schools and external agencies.

· Ability to work independently and as part of a team.
