About the job:

We are seeking a Communications Administrator to join the team at Northamptonshire County Council. The role is likely to be up until 31st March.

As Communications Administrator you will work as part of the Communications Team providing a comprehensive range of administrative and communications executive services and ensure the provision of timely and accurate information to relevant team members in support of the Communications Team’s protocols, processes and tasks.

  • Provide a confidential, comprehensive administration service for the Communications Team for COVID-19 and where required, NCC business as usual activities ensuring that processes and systems are maintained and functioning effectively.
  • Daily monitor and action the shared COVID-19 Comms inbox, supporting when necessary additional monitoring of the Communications-NCC email inbox.
  • Review, update and distribute the COVID-19 communication incident action log in line with agreed frequency and operational demand.
  • Instigate remind and chase ALL COVID-19 Communication Plan actions; constantly reviewing and re-prioritising as necessary to expedite in accordance with deadlines and any emerging issues.
  • Distribute to agreed timescales and deadlines, COVID-19 Communication Sitrep reminders to all team members, District & Borough communications, operational colleagues and Partners as per agreed protocols and deadlines.
  • Produce, maintain and host/manage the a number of powerpoint presentations to support a range of meetings, as required.
  • Oversee all planning, monitoring and updating of all COVID-19 communication actions to be taken on social media activity.
  • Co-ordinate and distribute the weekly COVID-19 Partner Communications Brief and Update.
  • Manage and monitor the ongoing COVID-19 Communications master task and action plan for the team.
  • Manage preparation of team meeting agendas and action logs.
  • Manage the team Zoom video meeting account, scheduling and setting up multi-attendee meetings.
  • Manage and maintain the team meetings calendar, annual leave calendar, on-call rota and all communication templates and asset libraries.
  • Where requested, manage and co-ordinate diaries, support meetings by taking notes, transcribing and distributing minutes/actions. Progress action points within agreed timescales.
  • Co-ordinate, plan and provide administrative support to COVID-19 communication projects and where requested by the Head of Communications, other specialised activities of the team and wider NCC Communications team.
  • Maintain and support any systems that are in place, including IT, archiving, filing and electronic storage systems that may be in use to ensure effective delivery of services.
  • Deal with meeting bookings, correspondence and telephone enquires including prioritising and taking necessary administrative action according to defined procedures, in order to facilitate an effective and prompt response by Service staff.
  • Provide an efficient and confidential administrative service, including use of Word, Excel, PowerPoint, databases, email Outlook etc. Arrange all aspects of inter-agency and inter-departmental meetings as requested.
  • Process general financial claims and payments in accordance with NCC regulations and guidelines.
  • Maintain a high degree of confidentiality for all information handled.
  • Liaise with other staff, both internal and external, to ensure appropriate exchange of information.
  • Demonstrate awareness/understanding of equal opportunities and other people’s behavioural, physical, social and welfare needs.
