About the job:

As a Business Support Officer/Administrator for Cambridgeshire County Council through Opus Cambridgeshire, you will support the single point of contact (SPOC) shared inbox that receives all outbreak notifications on Covid-19 and provide administration support to the Public Health Managers managing the SPOC inbox 7 days / week 8am to 8pm. The post holder will be required to work flexibly over 7 days including some evening and weekend working within a shift pattern


Remote working is offered for this role, however candidates will need to be able to collect/return IT equipment and be available, if required, to attend meetings.

  • Provide timely and effective administrative and secretarial support in relation to the single point of contact shared inbox and support the Public Health Service as required.
  •  Respond to queries, liaising with Officers, Managers and departments to ensure all advice and communication is delivered to County Council and Public Health standards and regulatory guidelines.
  •  Oversee document and data management in relation to Covid 19 (paper and electronic), including filing, data processing and distributing sensitive documents. This will be highly sensitive and confidential information.
  • Oversee the collection, collation & manipulation of a wide range of information using CCC information systems, to generate reports, prepare letters, memos and documents.
  •  Assist with the organisation, co-ordination and delivery of facility and service management.
  • Assist with monitoring and/or management of budgets in accordance with County council financial processes, systems and instructions
  •  Interrogate, process and maintain financial information – making recommendations for appropriate action.
  • Undertake financial support duties as required to support the efficient delivery of services.
  • Oversee that meetings and events are properly planned and arrangements co-ordinated, including liaising with external partners
  •  Ensure accurate records of meetings are taken and necessary follow up action undertaken.
  •  Produce accurate minutes at short notice for Incident Management Team (IMT) meetings that may be called on the day and the  ability to turn around minutes in hours which will be required  for  clear for decision making purposes.
  •  Use and maintain the Council’s databases and information systems to produce reports, presentations, undertake analysis and provide recommendations for action.
  •  Assist with the monitoring of Council and Service policies & procedures and contribute to the development of the service and promotion of initiatives (including creating presentations, marketing, promotional and learning/training materials).
  •  Represent team/section at meetings and on working groups
  • Ability to process highly sensitive data in relation to Covid 19 using a variety of Excel formats.
  •  Handle a number of data sources enter data accurately within a range of excel spreadsheets that needs to be updated within set time schedules.  Data entry including the management of rota scheduling and updates.
  •  Knowledge and ability to adhere to GDPR processes when managing and processing sensitive confidential personal identifiable data. Assist in Public Health case management ensuring that all procedure documents are regularly updated and archived within specific timescales.
  •  Ensure all historic data linked to Covid 19 cases is entered accurately and in a timely way onto a new case management system.

Successful candidates will need to be available to start immediately, with flexibility to work over 7 days including some evening and weekend working within a shift pattern.  A proven background within administration is required, ideally gained within highly confidential and sensitive data.
